Getting Started

Duedot is a business platform that allow digital dossiers management and collaboration with team members and clients.

  • Simplifies documents collection and communication with clients offering file storage and single dossier chat;
  • Speeds up documents analysis thanks to machine learning technology.

The entire workflow takes place in only one place, synced with your management software and connected to the other business tools you already use.

Creating a new workspace in Duedot is easy and takes only few minutes. Follow the steps below and that’s it, you’ve got your new workspace!

  • Go to Duedot website and on the hompage click Create a workspace;
  • Enter your email address and the 8-digit verification code received via email;
  • Set up your profile entering your full name and choosing a password;
  • Choose a name for your workspace, for example your company name;
  • Choose your workspace URL and remember that once you’ve confirmed it, you won’t be able to change it;
  • Confirm and start exploring your workspace!

To join an existing workspace it is necessary to be invited by the workspace administrators.
If you haven’t received an invitation email in your inbox, please check your spam folder or contact your workspace administrators for another invitation.

Accept the email invitation to join:

  • Open the email invitation, and click Join;
  • Enter your full name and choose a password;
  • Confirm your profile and start exploring your workspace!

Account basics

  • Visit the login page and enter your workspace URL;
  • Enter your email address and password, then click Sign in.

Having trouble remembering your workspace URL? We can help you find a list of all the workspaces that you’ve joined. Visit the login page and click Join an existing workspace, we’ll send you an email with a list of all the workspaces you’ve joined.

  • Click the profile icon at the top left or the settings icon at the bottom;
  • Click Logout.

  • Visit Duedot website and click Login;
  • Click Join an existing workspace;
  • Enter your email address;
  • Click Confirm and we’ll send you an email with a list of all the workspaces you’ve joined.

If you don’t remember the password, select the workspace and follow the instruction to reset it.

You can edit your profile information whenever you want:

  • Click the profile icon at the top left;
  • Select User profile and then Edit information;
  • Edit your profile and save.

Signed out of Duedot:

  • Visit the login page and enter your workspace URL;
  • Below the sign-in form, click I forgot my password and enter your email address;
  • Check your email inbox for a new message from Duedot;
  • In the password reset email, click Choose a new password. Enter your new password, then confirm and save.

Signed in to Duedot:

  • Click the profile icon in the top left;
  • Select User profile and then Edit information;
  • Click Reset password;
  • Enter your current password, and then a new one.

If you’d like to remove yourself from a workspace permanently, you can deactivate your account sending us an email to info@duedot.co, indicating the workspace name and the email address connected to your account.

If you’re a member of more than one workspace, you’ll have to deactivate each account individually.

Workspace

Your Duedot workspace is the space you share with other members of your team to manage dossiers and collect documents from clients.

To give new people access to join a workspace, administrators can send them an invitation by email:

  • Click the profile icon in the top left;
  • Select Manage Team and then Invite new member;
  • Enter collaborators’ email addresses and click Invite.

You can join as many workspaces as you’d like! You can use the same email address to sign up for another workspace, but you’ll need to create a new member account for each separate workspace you join.

Your workspace URL is the web address your members will use to access Duedot. Once you’ve confirmed it during registration, you won’t be able to edit it.
Your workspace name is displayed in menus and headings throughout Dedot and It will usually be the name of your company. You can edit it whenever you want clicking the profile icon in the top left and then Workspace settings.

To delete an entire workspace, you must be the primary owner of the workspace to delete it and it is necessary to send us an email at info@duedot.co.
Deleting a Duedot workspace cannot be undone: once you’ve deleted a workspace, all of its messages and files will be irretrievable.

If you’d like to remove yourself from a workspace permanently, rather than an entire workspace, you can deactivate your account sending us an email to info@duedot.co with the workspace name and the email address connected to your account.

It’s a tool to communicate inside a workspace team. Team chats can be used only between two members, in order to share documents and information beyond dossiers.
It is not possible to add participants or create group chats.

  • Click the chat icon in the bottom left;
  • Click + on the top and select the team member with whom you want to chat.

Contacts is your client management area where you can consult easily client’s information and all their dossiers.

  • Click the contact icon in the bottom left;
  • Click + on the top to open a new contact form;
  • Select contact’s typology and fill requested information.
  • Click the contact icon in the bottom left;
  • Search the contact you want to edit;
  • Access Details tab and click on the pencil icon;
  • Edit information and save.

Dossier

A digital practice that includes documents required to start up and complete a bureaucratic or bargaining process
and a chat dedicated to team-to-customer communications.

With Duedot you can open any kind of dossier, tailored on your business and on your specific needs.
Basic plan includes generic dossiers, while Premium and Plus plans allow you to customize dossiers on the base of your specific activity.

  • Click the dossier icon in the bottom left;
  • Click + on the top to open the dossier creation form;
  • Choose the typology and fill the requested information;
  • Choose whether you want the dossier to be shared with all the members of your team or with few members added as participants;
  • Save and start working on your new dossier!

In case of server to server connection, you can also open a new dossier directly in your management software.

When you open a new dossier, you can choose whether to share the dossier with all your team members or only interested participants.
If you want to open a private dossier accessible only by invitation, here how you can add participants from your team:

  • click on the number of participants under the dossier name;
  • enter the email address or the name of the team members you want to invite in the Participants from your team section;
  • save and exit from dossier sharing settings.

Dossiers can be shared with both team and clients, if added as participants.
To share a dossier with clients:

  • click on the number of participants under the dossier name;
  • enter the email address of the client in the External participants section;
  • save and exit from dossier sharing settings.

Clients will receive an email from your company with a link to open the dossier. They can even interact with no need to register.
The link shared by email can be opened in any web browser and with any device.

It is possible to send private messages for team members in the dossier chat. Internal messages, marked with a padlock, are not visible in external participants’ chat history.

To send an internal messages:

  • Open the dossier chat;
  • Click the + on the bottom left and select Internal message.
  • Write a message and send it.

It is possible to send also internal files:

  • Open the dossier chat;
  • Click the + on the bottom left and select the file you want to send privately;
  • Choose a file name, write an optional message and remember to flag the Internal message option.

In Duedot you can upload any kind of file, unless company’s specific restrictions, from any device:

  • Drag&Drop from computer;
  • Smartphone camera and gallery.

To upload a file:

  • Open the dossier chat;
  • Click the + on the bottom left and select the file you want to send.

Only team members can delete documents, even if uploaded by clients:

  • Open the document you want to delete;
  • Click the icon with 3 dots in the top right and select Delete permanently.

To export a single document:

  • Open the document you want to export;
  • Click the icon with 3 dots in the top right and select Download document;
  • Select the folder where you want to save it and confirm.

To export more than one document of the same dossier at once: (only Premium and Plus users):

  • Select the dossier and access Documents tab;
  • Click multi-selection icon and select the documents you want to download;
  • Now the download button is active and you can click it;
  • Select the folder where you want to save the documents and confirm.

Documents cannot be moved from a dossier to another, but it is possible to create a copy;

  • Open the document you want to copy;
  • Click the icon with 3 dots in the top right and select Copy document;
  • Select the dossier where you want to create a copy and confirm.
  • Open the dossier you want to archive;
  • Click the icon with 3 dots in the top right and select Archive dossier.

Once you’ve archived a dossier, participants won’t be able to use the chat and upload documents, and team members won’t be able to do operations like document categorization.

An archived dossier can be reactivated following the same steps and selecting Reactivate dossier. In this way, participants will be able again to use the chat, upload documents and work on it.

  • Open the dossier you want to delete;
  • Click the icon with 3 dots in the top right and select Delete dossier.

Once you’ve deleted a dossier, all of its messages and files will be irretrievable.

Inbox

Inbox is a lite version of Duedot designed for clients, in order to gather together in one place all the dossiers shared with an email address from different companies that use Duedot.

In Inbox, clients cannot create workspaces, open new dossiers and use the team chat.

Clients that sign up to Inbox can view in only one place all the dossiers opened with their email, consult documents whenever they want, also after the dossier closure. They can interact with the company directly via chat and upload documents with their smartphones or computers.

AND IF THEY DON’T WANT TO SIGN-UP?
Clients that don’t want to sign up to Inbox can view their dossiers and interact with the company through the link received by email. The link can be opened in any web browser and with any device.
